Infonic AI Chatbot Privacy Policy

This Privacy Policy explains how InfonicAI (“Infonic AI”, “we”, “us”, or “our”) handles personal information when website owners use Infonic AI Chatbot and when visitors interact with a chatbot powered by the service.
1. Information we collect
- Account information: name, email address, authentication information, connected website URL and name, account status, and support communications.
- Customer Content: selected WordPress pages, posts, supported uploaded documents, website profile information, chatbot instructions, and appearance settings.
- Visitor interactions: questions sent to a chatbot, limited recent conversation history used to maintain context, generated responses, and whether a question could be answered.
- Lead information: when enabled for an eligible plan and voluntarily submitted, a visitor’s email address and the related question.
- Usage and technical information: message and document counts, timestamps, job status, IP address, browser or request information, security logs, and diagnostic errors.
- Billing information: subscription, order, and payment-status information supplied by Lemon Squeezy. We do not receive or store full payment-card numbers.
2. How we use information
We use this information to create and manage accounts; connect and verify websites; extract, index, and retrieve Customer Content; generate chatbot responses; maintain conversation context; enforce plan limits; show unanswered questions and leads to the appropriate account owner; provide support; send transactional notices; prevent abuse; diagnose failures; improve reliability; and comply with applicable legal obligations.
3. AI processing and service providers
To generate embeddings and responses, relevant content and visitor messages may be processed by OpenAI through its API and by infrastructure, email, security, analytics, and payment providers that help us operate the service. OpenAI states that API inputs and outputs are not used to train its models by default unless the API customer opts in. Each provider processes information under its applicable terms and data-protection commitments.
4. Our role and the website owner’s role
For account, billing, security, and direct service administration, Infonic AI determines how information is used. For visitor messages and contact details collected through a customer’s chatbot, the website owner determines why the chatbot is deployed and how follow-up information is used; Infonic AI processes that information to provide the service. Website owners are responsible for providing their own visitors with appropriate privacy information and obtaining any consent required by applicable law.
5. How information is shared
We do not sell personal information or share one customer’s private knowledge base with another customer. We share information only with service providers needed to deliver the service, when directed by the account owner, in connection with a lawful business transfer, to protect rights and security, or when required by law.
6. Retention and deletion
Account information, Customer Content, settings, and trained data are generally retained while the account is active. Removing a synchronized item or uploaded document removes it from the active knowledge base. Unanswered questions and leads remain available to the account owner until deleted or the account is closed. After account deletion, associated active-service data is removed, subject to limited retention required for fraud prevention, security logs, legal obligations, disputes, transaction records, and time-limited backups.
7. Security
We use reasonable technical and organisational safeguards intended to protect information, including account and site separation, authenticated service requests, access controls, and secure transport. No internet service can guarantee absolute security. Account owners should protect their credentials and promptly report suspected unauthorised access.
8. International processing
Our service providers may process information in countries other than the country where the account owner or visitor is located. Where required, we rely on appropriate contractual or legal safeguards for such transfers.
9. Your choices and rights
Depending on applicable law, you may have rights to request access, correction, deletion, restriction, objection, or portability of your personal information. Account owners can manage content and settings through the plugin or dashboard and can request account deletion. Visitors should normally contact the owner of the website where they used the chatbot; we will assist that owner when necessary.
10. Children
Infonic AI Chatbot is not directed to children, and account owners must not knowingly use it to collect children’s personal information without the notices, permissions, and safeguards required by applicable law.
11. Changes to this policy
We may update this policy as the service or legal requirements change. We will change the date above and provide appropriate notice when changes are material.
